This event will be a two day event, over the weekend of the 13th and 14th March 2010. Pre-event scrutineering will be at Pirongia on Friday afternoon, 12th March – the Safari itself commences Saturday morning. You will need to plan your travel to arrive at Pirongia on Friday 12th any time after 3.00PM. We will scrutineer your vehicle and equipment between 3.00PM and 7.00PM. We are unable to accommodate arrivals on Saturday morning due to the time taken with scrutineering. If you think you will have trouble arriving in time on Friday evening, contact the organisers to make alternative arrangements.
Te Awamutu, Hamilton and Otorohanga Accommodation
Motels - The list of available accommodation is too exhaustive to list here. We suggest you Google motels in Te Awamutu, Hamilton and Otorohanga and select from there. Any problems, contact the organisers. Accommodation for Friday and Saturdays nights can be arranged at Hamilton (31kms from Pirongia), Te Awamutu (12 kms) or Otorohanga (28kms). There are no motels in Pirongia.
Camping - Camping facilities will be available at Pirongia for a nominal charge. Pirongia has a supermarket, hot bread shop, a café, restaurant, hotel and a petrol station.
Nature of this Event This event is a 4WD tag-along adventure journey designed for ‘shiny’ 4WD vehicles, travelling in pristine farmland and bush areas of the Pirongia area and its surrounds. The description ‘shiny’ denotes the typical road going 4wd vehicle, equipped with a transfer case (engaging low ratio) that is not normally used in specialist 4WD events but can get dirty. Bush and bash vehicles are welcome to participate too. Tag-along means that participants can traverse the route at their own speed with the help of route arrows and a route map. There will be the added assistance of a team of guides and specialist tow vehicles (tough trucks) dispersed along the route.
The following is a checklist of vehicle specifications/requirements:
· Open to most 4WD vehicles with a transfer case. Exclusions are 4WD saloons and vans. Check with us if you are uncertain about your vehicle’s suitability.
· Front & rear tow hooks - facility to attach 3.5 tonne rated shackle accepted. No exceptions. Standard stowage hooks are not sufficient. If in doubt, ask prior to arrival.
· Tow balls cannot be used for recovery - they will be removed prior to all trips.
· First aid kit & medication
· Fire extinguisher – minimum 2 kg in total.
· Spade, shovel or grubber
· Basic vehicle tool kit (& tyre gauge)
· Spare wheel & changing equipment - with mud support plate (i.e. 8 inch x 1inch board)
· Rated kinetic rope or strap (stretch)
· No rusty bolts, brackets, mountings will be permitted.
· It is recommended that all soft top vehicles not already fitted with some form of factory roll-over protection to be fitted with a LVVTA certified or NZ4WDA approved roll-cage.
· Tyres – Please note. All-terrain tread patterns with good tread depth (50% minimum). Ordinary road tyres will cause problems in tricky situations so will not be suitable for this event. Vehicles fitted with road tyres will not be permitted to participate. Please do not compromise on your tyres.
· No tyre chains will be permitted.
All vehicles will be scrutineered prior to participation and all aspects of the checklist above will be adhered to stringently to ensure the safe and smooth passage of all people involved in this event.
Venue
Pirongia will be the base for this year’s event. Scrutineering, Safari headquarters and meals will all be based at Pirongia. There is no motel/hotel accommodation at Pirongia but there is at Te Awamutu, Hamilton and Otorohanga. We will provide camping facilities for you if you wish to camp. Fuel can be bought at Pirongia and there is also a supermarket and hot bread shop, as well as a café and restaurant. Saturday 13th and Sunday 14th March
There will be a full day of spectacularly varied 4WD touring on Saturday, and ¾ of a day 4WD touring on Sunday leaving time for your return trip home that day. We will provide a booklet containing some background to the farms you will be travelling over and other items of interest. Pirongia village is at the base of the 959m Mt Pirongia and both days will be spent in the slopes of this landmark. Bring your camera!
Base
The Safari head quarters will be the Pirongia Fire Station. This is where the documentation, administration and briefing will be located. This venue is central to all facilities.
Costs
The basic cost of $180 per vehicle provides full access to two days access to farms and permits to bush and forest areas for the driver and all passengers of each vehicle entered.
As food and accommodation are available, your additional costs will depend on your selection of facilities you require. Please refer to the accompanying entry form.
There will be fuel available at Pirongia, Te Awamutu, Otorohanga and Hamilton.
Cancellations
Up until 5th March, a full refund will be provided; after that date, no refund can be provided due to the fact we will have pre booked and pre ordered goods and services.
Cut-Off for entries
All entries received by 24th December will go into a draw to receive a refund of the entry fee. This will be drawn on Saturday night, 13th March. You will need to be present to be eligible for this draw.
The final date for the receipt of entries will be Friday 5th March. Your entry including your cheque for your group’s costs should be posted to arrive by that date. Entries will be handled on a first come, first served basis.
Meals
Friday 12th March No meals will be supplied. The local hotel supplies takeaway type meals. There are several excellent eating establishments in Te Awamutu 12 kms from Pirongia.
Saturday 13th March
· Breakfast – at Head Quarters. Continental - Cereal, canned fruit, toast, butter spread, cordial, tea, coffee, Milo. Cost: $10 per adult, $5 per child aged 12 and under
· Lunch. Supplied enroute, during the Safari – filled roll/sandwiches, fresh fruit, cake, cordial, and tea/coffee. Cost: $10 per adult, $5 child aged 12 and under
· Dinner. Home Cooked Roast Dinner – Roast meal – meat, vegetables, greens with a dessert of ice-cream and fruit salad. Tea/Coffee. Cost: $20 per Adult, $10 per child aged 12 and under. A cash bar will operate.
Sunday 14th March
